Rentap sends your accountant the rent you've received and the money you've spent, with the receipts. Choose a period, check the records and share them: your accountant gets an Excel workbook by email and a link to download the receipts and files for their accounting software. Or give them live, read-only access to look whenever they need.
Choose what to share
The current tax year, 6 April to 5 April, is chosen for you. Pick other dates or one house if you like. Everything not shared yet is already selected, and records shared before are marked with the date. Untick "Include tenants' names" if you'd rather leave them out. Add a message and share.
Income is rent received. Deposits aren't included.
An Excel workbook, ready to use
Your accountant gets an email with an Excel workbook attached. It has these sheets:
- Summary: the period, who prepared it, income, expenses, net, and expenses by suggested SA105 line;
- Income: date, house, room, tenant, reference, method and amount;
- Expenses: date, house, category, suggested SA105 category, description, supplier, amount, VAT and receipts;
- By category: HMRC categories by month, with totals;
- For QuickBooks: the accounts to set up and the steps to import.
Amounts are real numbers and dates are real dates, so the sheets sort and add up properly.
Receipts and files for accounting software
The email has a link that works for 30 days. From it your accountant can download the workbook, every receipt in one ZIP, and files for:
- QuickBooks: journal entries, already categorised, or bank transactions;
- Xero: a bank statement file;
- Sage: a bank transactions file;
- FreeAgent: a bank statement file.
You can download the same files yourself from "Shared before", or send again for a new 30-day link.
Live, read-only access
Prefer your accountant to look for themselves? Choose "Give live access". We email them a link, and each time they sign in with a 6-digit code sent to their email. They don't need a Rentap account. They can see and download rent, expenses and receipts for all your houses, for any period, but can't change anything.
"Activity" shows every invite, sign-in and download. "Turn off" stops their access, and every sign-in, straight away.
Who can share
Only the owner, or a manager with analytics access, can share. Live access covers every house, so it needs someone who can see every house. You decide who has access and you can turn it off at any time.
Making Tax Digital
The same records feed the Making Tax Digital quarters page, so your accountant sees the figures in HMRC's categories too.
