Send documents to tenants, with proof

Email tenants their certificates and documents, and keep a dated record of every send.

Start free – no card

Rentap emails your tenants the documents they should have: the house's gas safety record, electrical report (EICR) and EPC, the deposit information, the tenancy agreement and your own files. Each tenant gets one email with the files attached. Rentap keeps a dated record of what was sent, to whom and by whom, and ticks it off on the tenancy.

What each tenancy still needs

Every tenancy has a list of the documents given to the tenant:

  • the tenancy agreement;
  • the gas safety record, if the house has a gas check on its compliance calendar;
  • the electrical safety report (EICR);
  • the energy performance certificate (EPC);
  • the deposit prescribed information, if there's a deposit;
  • the information sheet, for tenancies that started before 1 May 2026.

When you open "Send documents", Rentap selects what this tenancy is still missing. Add or take out anything you like.

Certificates come from the calendar

The house's current certificates come straight from the compliance calendar, so you send the one that's valid now. An expired certificate is marked before you send it. When you record a new gas or electrical check with its certificate, Rentap offers to send it to the house's current tenants. Nothing is sent until you choose to.

A move-in pack in one go

The built-in move-in pack adds the house's current gas safety record, EICR and EPC at once. Save your own templates too, like a pack with your house rules. Templates pick each house's current certificates, so one template works for every house.

A dated record of every send

Each send is kept: the date, who sent it, who it went to, the message and the exact files. Rentap stores a fingerprint of each file, so you can show which version was sent. The tenancy's list is ticked, for example "Emailed 13 Oct 2026", and "Sent before" shows every send. Documents you gave another way, by post or in person, can be recorded by hand.

Good to know

Each email can carry up to 15 MB of attachments, so send large files in two goes. Tenants need an email address on their record. Check that your tenancy agreement allows documents to be given by email. This isn't legal advice.

The usual rules in England

  • Gas safety record: give new tenants a copy before they move in, and existing tenants a copy within 28 days of each annual check.
  • Electrical safety report: give new tenants a copy before they move in, and existing tenants a copy within 28 days of each inspection.
  • EPC: give it to the tenant before the tenancy starts.
  • Deposit: give the prescribed information within 30 days of receiving the deposit.

These are the usual rules, not legal advice. Check the sources below for your case.

Questions

Which documents can I send?

The house's current gas safety record, EICR and EPC from the compliance calendar, the tenancy's documents such as the signed agreement, the house's other documents and your own files.

What proof does Rentap keep?

Each send records the date, who sent it, who it went to and the exact files, with a fingerprint of each file. The tenancy's document list is ticked with the date.

Is anything sent automatically?

No. When you record a new certificate, Rentap offers to send it to the current tenants, but nothing goes until you choose to send it.
